Who we work for

Five typical situations from everyday life. The names are examples, not client reports. If you recognise yourself in one of them, you know what we will be talking about in the first conversation.

Your mother lives alone in Mülheim. You live 600 kilometres away and call three times a week with a guilty conscience.

Mr B., 52, sales manager. His mother, 79, manages on her own, but the heating is dripping, the application for a care level has been lying around for weeks, and she cannot get to the cardiologist without someone accompanying her.

What we take on

  • Fill in the application for a care level according to her information and accompany her to the assessment appointment
  • Coordinate and accompany medical appointments
  • Organise tradespeople, be on site and check the work
  • Deal with official correspondence
  • A written status report to the son every month

We organise and accompany. Care services are provided by care providers; advice on benefit entitlements and objections is given by the care advice centre or a lawyer.

Your flat is in Essen. You are not standing next to it when the contractor arrives.

A flat as an investment, the owner lives in another city or abroad. The tenant reports water damage, or the flat needs renovating before it is let again. Three contractor numbers found online, two do not call back, one quotes a price on the phone without having seen the flat.

What we take on

  • Attend the on-site appointment, document the damage or renovation needs with photos
  • Ask several trade businesses and prepare the quotes so they can be compared
  • Coordinate appointments between the contractor and the tenant
  • Organise access to the flat and be on site when needed
  • Accompany the acceptance and document defects
  • Check the invoice against the agreed work before you pay

Individual projects rather than ongoing management. Tenancy management, service charge statements and management under the German Condominium Act belong to a licensed property manager.

You run a construction company with eight employees. Your German is good enough for the site, but not for the letter from the main customs office.

Mr A., 41, of Arab origin, has run a drywall company for six years. He gets enough orders by word of mouth. What wears him down: notifications to SOKA-Bau (the construction industry social fund), registering new employees, post from the employers’ liability insurance association, and the uncertainty of whether he has overlooked something.

What we take on

  • Open official post, explain it in Arabic and draft the reply according to his instructions
  • Fill in forms for social insurance, health insurance and SOKA-Bau according to his instructions and keep an eye on deadlines
  • Write quotes and invoices in correct business German
  • Prepare documents for the tax adviser and keep in touch with him

We fill in, sort and translate. Payroll, tax filings and the legal assessment of official decisions remain with the tax adviser and the lawyer.

The business idea is in place, often the financing as well. What is missing is the sequence.

Trade registration, the tax office’s registration questionnaire, legal form, commercial register, company number, registration with the employers’ liability insurance association, and depending on the trade a licence. Each office assumes that another step has already been completed, and nobody tells you that in advance.

What we take on

  • Clarify the sequence and the documents required before the first application goes out
  • Prepare the trade registration and accompany you to the appointment
  • Fill in the tax registration questionnaire according to your information and your tax adviser’s instructions
  • Prepare registrations with the employers’ liability insurance association and social insurance
  • Set up an invoice template and agree the mandatory details with the tax adviser
  • Set up a filing and receipt system, establish contact with the tax adviser and prepare the handover
  • For start-ups with bank financing: compile the list of documents for the bank and assemble the complete file

We clarify the sequence, fill in forms and accompany you. The choice of legal form, tax decisions such as the small business exemption and the review of contracts belong to the tax adviser and the lawyer. We do not arrange financing.

You want to buy an apartment building. The bank is asking for documents you have never heard of.

The K. family has a property in mind. The bank requires a personal financial statement, proof of income, property documents and proof of equity. Twice they submitted something, twice a request for further documents came back.

What we take on

  • Compile a complete list of documents before anything is submitted for the first time
  • Prepare the personal financial statement and household budget properly
  • Request property documents from the estate agent or seller and check them for completeness
  • Assemble the file the way a credit department expects it
  • Obtain cost estimates from trade businesses for modernisation loans

German, Arabic and English

German administrative language is not self-explanatory even for native speakers. Anyone who speaks German as a second language and did not grow up with the system faces a double hurdle: the language and the logic behind it. Which deadline is binding? What happens if you do not respond? Which notification goes to whom?

The result is rarely carelessness. More often it is procrastination: the letter is put aside because it is unclear what it demands. Four weeks later, an enquiry has turned into a reminder.

Jasmin Al Sharif was born and raised in Germany and has Arab roots. She speaks both languages at native level and knows German administration from more than ten years in customer advisory roles. We review your post, explain it in Arabic or English and draft the reply in German.

Advice, appointments and correspondence are also available in English, for example for clients who are new to Germany or who have relatives or a property in the Ruhr area looked after from abroad.

Certified translations of deeds and documents may only be produced by sworn translators; we can put you in touch with them.

Jasmin Al Sharif, Owner

I have worked in customer advisory roles since 2012 and in banking since 2020. It is an environment in which discretion, care and binding commitments make the difference, and in which you deal with powers of attorney, forms and deadlines every day.

During this time I have seen again and again what things fail on in everyday life: not on willingness, but on time, overview and physical proximity. That is exactly where the Mandatsbüro comes in. We take the organisation off your hands, keep appointments and documents together and tell you what has been done.

Who is the Mandatsbüro for?

Yes, both. Jasmin Al Sharif was born and raised in Germany, has Arab roots and speaks German and Arabic at native level; advice and correspondence in English are also available. On request we explain official letters in Arabic or English, and we accompany you to appointments. Certified translations are produced by sworn translators, whom we can arrange.

What does the collaboration cost?

We work with fixed monthly fees instead of hourly rates. The amount depends on the scope and frequency of the tasks and is set out in a written offer after the introductory conversation. So you know what the collaboration costs per month before the first working day.

How do my documents reach you?

In three ways: we collect post and documents throughout the service area in person, you send scans or photos, or you set up a dedicated mailbox or access to your filing for us. We agree which way suits you in the offer.

What does the collaboration look like day to day?

You reach us through one fixed channel. We handle your tasks on agreed days, coordinate appointments, contractors or contacts and report back on what has been done, at the interval of your choice. Decisions remain with you; we prepare them and follow up.

How quickly do you reply?

Within 5 working days we respond to every enquiry with a proposal for a conversation. Ongoing tasks are handled on fixed days agreed in advance.
